Retros work better with the whole team in the room. Invitations live in Settings → Organization, under the General tab, in the Members card.
Sending an invitation
Enter your teammate’s Email Address, pick a Role, and click Send Invitation. Two things happen: the invitee gets an email with a join link, and the invitation appears in your Pending Invitations list so you can see who hasn’t joined yet.
Invitations expire after 7 days. If one lapses, send a new one to the same address.
Choosing a role
The role select has three options:
- Member — the standard role. Members run and join retros, add cards and vote, own action items, create teams, and work with objectives.
- Org admin — everything a member can do, plus organization settings, billing, and inviting people. Org admins also see a small set of manager-only patterns in the signal feed.
- Viewer — read-only access.
Today, roles are set at invite time. There is no way yet to change an existing member’s role, remove a member, or resend an invitation from the app. For an expired invitation, send a fresh one to the same address; for the rest, contact us.
What the invitee sees
The email link opens a Join page for your organization, showing the role they were invited as. They don’t need an existing account — they confirm their email, set a password, and click Accept invitation. That signs them in and drops them straight into your workspace.
If the link has expired or was cancelled, they’ll see a clear message saying the invitation is no longer valid.
Cancelling an invitation
Any org admin can click Cancel next to a pending invitation. The link stops working immediately. This is the right move for typos, wrong addresses, or people who shouldn’t join after all.
Plan limits
Each plan includes a set number of team members. If you’re at your plan’s limit, sending an invitation returns an error telling you to upgrade first — nothing is silently dropped. You can see your current usage on the Billing tab under Plan limits, shown as members used out of members included. Details on what each plan includes are on the pricing page.
After they join
New members land in the same workspace you see. Point them at What is SmartRetro? for the one-page overview, and add them to the right teams — see Teams and scope for how team membership shapes what they see.
